This is a peer review discussion post. You have to read and understand the post and respond. I will be giving you a peer discussion post. The instructions for the actual assignment given to us and the peer will be also included first prior to seeing the peers response. Review your classmates’ post. Prior to beginning work on this discussion, read The Importance of Accurate Record Keeping (Links to an external site.) and Standard #6 in the NAEYC Early Childhood Program Standards (Links to an external site.) document.

Your lead teacher is so impressed with how you are working with the students, she is now going to introduce you to a few of the administrative duties that are also a part of the teacher’s job.

While your lead teacher is an incredible educator, her record keeping skills are less than ideal. She has a table full of stacks of papers: portfolios, checklists, check-in and check-out daily records, anecdotal records, daily logs of each child’s behavior, and art work. Although she has a good sense of where everything is, you remind her that she will be out for the next month and therefore it would be best if the stacks were better organized. During your discussion, your director comes in and tells you that you have four meetings to prepare for this week.

Meeting #1: Licensing will be here to review our records to ensure that are check-in and check-out records are accurate.

Meeting #2: Liam’s parents will be in to discuss his behavior. They have been noticing that he has become quite angry at home and they are sure that something is happening at school to warrant this behavior.

Meeting #3: Licensing will also be verifying any child injuries that have taken place in your learning environment. They have had a report from a parent stating that their child was hurt at school and they were not notified.

Meeting #4: The lead teacher that your students will transition to in the fall will be meeting with you to review your students. She wants to be prepared for these students. Please complete the interactivity to show what documents need to be pulled to prepare for this meeting. Explain why you chose the documents you did.

Meeting #1: Licensing will be here to review our records to ensure that are check-in and check-out records are accurate.

Check-in/check-out records– These logs will help licensing to see that the children are checked-in and checked out daily and that we keep accurate records.

If need be, I will also show doctor’s notes if questions arise about those that were not logged on certain days. Doctor’s notes can show just cause of why the child was absent or not logged for being checked-in/checked out.

Current Roster– This will show Licensing who’s actually enrolled in the school at the time this is helpful to them in the event that a mother withdraws their child from the school. They’ll know the reason for them not being logged in or out.

Meeting #2: Liam’s parents will be in to discuss his behavior. They have been noticing that he has become quite angry at home and they are sure that something is happening at school to warrant this behavior.

Daily behavior Logs– After speaking with the parents I would want to compare notes. This behavior log will show if the child is experiencing his angry behavior while at school just as he is at home. Example- if the behavior log shows that he’s excelling at school and on his best behavior, but the parents are saying he’s angry at home, this maybe an issue at home rather than at school.

Anecdotal notes– these are notes of observations of the child. If something triggers angry behavior from Liam it should be documented thoroughly.

Parents monthly satisfaction surveys– This survey will help me to understand how often the parents mentioned this different behavior of their child. If any changes happened during the time the behavior was reported this could help us to understand what’s his triggers.

Meeting #3: Licensing will also be verifying any child injuries that have taken place in your learning environment. They have had a report from a parent stating that their child was hurt at school and they were not notified.

Incident reports– showing all injuries that have been documented and also reported. It will detail the nature of the incident, if medical attention was needed, and also that the parent was notified.

We’ll probably also need check-in/check-out logs to see if the child was in fact at school when the incident in question happened.

Daily behavior logs- to help her understand those that may need extra help and those that should excel beyond expectations.

Anecdotal notes- this will be my direct observation of the children. Things that trigger unfamiliar behavior, good days, bad days, and any improvements the children make.

Parent Monthly Satisfaction- I would want the new lead teacher to know the parents as well and their expectations of the teacher.

Not easy to file:

I think the following things are administrative and should not be with teachers. Insurance records, financial records, and employment applications. These records contain private confidential information.

For me personally I am a record keeping “freak”. I have documents for years and years too afraid that I’ll need it for something and it’s proven to be true. Keeping paper documents is good but keeping them digitally is better. Being able to upload documents you’re able to store a lot more without taking up space.

The paper documents will be kept in binders monthly and if it’s up to me every month the entire binder will be stored. New binder for each new month labeled and stored away.
