Data analysis and representation tools are ofgreat importance in guaranteeing efficient quality management in anyorganization. Lack of these tools renders an organization incapable ofmitigating the potential risks that could lead to the deterioration ofquality. When this happens, there is a chance of significant lossesbeing incurred in other areas within the organization (Grant, 2016).Particularly, there is too much information that may end up beingmeaningless if not well analyzed and represented. Therefore, having theright analysis and representation tools helps the management to drawaccurate conclusions when managing projects. There are definite stepsthat one needs to follow to achieve the best data analysis andrepresentation. These steps are specific, depending on the process inquestion and the expected result.

Remarkably, data representation is aboutpresenting data to the right audience at the right time and in theappropriate forum. The tools and technologies around data representationare evolving each day. One of the most useful data representationtechniques for managing quality is the histogram (Project ManagementInstitute, 2017). This involves the design of a figure that indicatesthe distribution of various parameters against a certain variable. Thistechnique is crucial in data representation in managing quality as itoffers a specific illustration of the data under study. For example, itis possible to represent the number of defective goods in a particularbatch of delivery. This representation is easy to interpret at a glance,making histograms some of the clearest data representation tools to usein quality management.

On the other hand, data analysis in qualitymanagement is also a crucial area where the application of theappropriate technique is key in deriving the right results. One of thecritical data analysis technique is process analysis (Project ManagementInstitute, 2017). This is applied in checking the precision involved ina particular process in a firm. Process analysis is aimed towardsdeveloping corrective measures to streamlining a particular process. Inthat regard, the analysis method looks into the problems experienced inthe process and suggests the appropriate corrective measures to ensure amore accurate process.

As aCampaign Manager for a marketing firm, I used the Document Analysismethod quite frequently. This analysis method involves analyzing variousdocuments produced as part of the project control processes. Thesedocuments can include quality reports, test reports, performancereports, and several others. These documents focus on the processes thatmay be jeopardizing the quality or success of the project or therequirements to the project (PMI, 2017).

At my company, we do a lot of quality reports and performance reportsfor our agents. The quality reports are done by our quality assuranceteam as they listen to phone calls and determine if the agent isperforming up to our standard. The QA team uses histograms whenpresenting this data to give us a visual of agent rankings and overallquality rankings for each campaign. The performance reports are used ifan agent needs to improve in a certain area. We talk to the agent, coachthem on the quality that needs improvement, and then document thatmeeting so that we can keep record of what was discussed and set goalsfor improvement.

As a future project manager, I would be using the Document Analysismethod and possibly several others. I am familiar with Document Analysisand it has proven itself successful in the past so it’s something I’dwant to implement in the future. I think it could be very useful inproject management so that, during the planning stages when the team isbeing chosen, those documents can be reviewed to determine the bestpossible candidates for each individual project.
